A PIM (product information management system) becomes the single place where your team writes and approves product data, which is then pushed to Magento and other channels. You need one when product data is created by several people or sources, sold in several channels or languages, or too rich to manage comfortably in the Magento Admin. If you sell a few hundred simple products in one language through one store, Magento's own catalog is usually enough. Akeneo and Pimcore are two widely used PIMs with documented routes into Adobe Commerce and Magento Open Source.
What a PIM does that Magento does not
Magento is built to sell products. A PIM is built to prepare them. The difference shows up in workflow:
- Enrichment workflows: drafts, approvals and completeness scores per channel and language.
- Data from many sources: supplier files, ERP item data, photography and copywriters merged in one record.
- Channel-specific output: different titles, descriptions or attribute sets for your store, marketplaces and print catalogs.
- Digital assets: images, spec sheets and manuals linked to products, sometimes with a separate DAM.
- Governance: who changed what, and rules that stop incomplete products going live.
Do you need a PIM? A scorecard
Score each statement from 0 (not true) to 2 (very true). This is a rule of thumb for starting the conversation, not a formula.
| Statement | Score 0–2 |
|---|---|
| More than one team (buying, marketing, ecommerce) edits product data | |
| Product data arrives from suppliers in spreadsheets or feeds you must clean | |
| You sell in more than one language or region with translated content | |
| You sell the same products on marketplaces, retailers' sites or print catalogs | |
| Products have many technical attributes used for filtering or comparison | |
| You manage many images, documents or videos per product | |
| New products wait days or weeks for content before they can go live | |
| You regularly find wrong or missing data on live product pages | |
| You plan to replatform or add a second storefront in the next two years | |
| You want AI-generated or AI-assisted content with human approval before publishing |
- 0–6: Magento's catalog plus good import processes is probably enough. Fix attribute sets and naming first.
- 7–12: A PIM is worth evaluating. Map the real cost of today's manual work before deciding.
- 13–20: Product data is likely holding back growth. A PIM should be on the roadmap.
Attribute ownership table
The most important design document in a PIM project is a list of who owns each attribute. Without it, the ERP, the PIM and Magento overwrite each other. This is a typical split; adapt it to your systems.
| Attribute group | Owner (source of truth) | Flows to | Edited in Magento? |
|---|---|---|---|
| SKU, EAN/GTIN, weight, dimensions, tax class | ERP | PIM, then Magento | No |
| Cost, list price, customer-specific prices | ERP | Magento directly | No |
| Stock and availability | ERP or WMS | Magento directly | No |
| Product name, descriptions, bullet points | PIM | Magento and other channels | No |
| Technical and filterable attributes | PIM | Magento (layered navigation, search) | No |
| Images, videos, documents | PIM or DAM | Magento media gallery or CDN | No |
| Category assignment | PIM (or Magento for merchandising-only categories) | Magento | Agree per category tree |
| SEO title, meta description, URL key | PIM or Magento, chosen once | Magento | Only if Magento is the owner |
| Promotions, sort order, merchandising | Magento | Stays in Magento | Yes |
| Reviews and ratings | Magento or review platform | Stays outside the PIM | Not applicable |
Prices and stock usually skip the PIM entirely and go straight from the ERP to Magento. Our Magento ERP integration guide covers those flows.
Akeneo and Magento
Akeneo documents an Akeneo Connector for Adobe Commerce in its Help Center. It is a module installed on the Commerce side that reads from the Akeneo API and imports structural data (channels and locales, categories, families) and catalog data (products and product models, attributes and options, assets and reference entities) into Commerce. The documentation covers filtering and mapping for each of these, plus logs, errors and reindexing after imports.
Points to check for your project:
- How Akeneo's product models and variants map to Magento configurable products.
- How locales map to store views, and channels to websites.
- Which Akeneo edition you use, and whether features such as assets and reference entities are available in it.
- Import timing and indexer load on large catalogs.
Pimcore and Magento
Pimcore is a data management platform covering PIM, MDM and DAM, offered in community and commercial editions. Its Datahub provides a configurable GraphQL API by default, with workspaces and schemas controlling which data each endpoint exposes. Integrations with Magento are typically built on Datahub, either with a third-party connector bundle or a custom integration. Pimcore's flexibility in data modeling is its strength, and it also means the mapping to Magento's attribute sets has to be designed carefully.
Choosing a PIM and connector: criteria
Rather than picking a "best" PIM, compare candidates on the points that affect a Magento project:
- Data model fit: variants, bundles, kits and B2B attributes you actually sell.
- Magento mapping: configurable products, attribute sets, store views, multi-website setups.
- Connector maintenance: who maintains it, how often it is released, and its compatibility with your Magento version.
- Import performance: delta imports, scheduling, and impact on indexers and cache.
- Assets: built-in DAM, external DAM or Magento's media gallery, and how images reach your CDN.
- Workflow and roles: approval steps for your team structure.
- Hosting and licence model: SaaS or self-hosted, and what each edition includes.
- Other channels: marketplace and retailer feeds from the same data.
Where AI fits
A PIM is a natural place for AI-assisted enrichment because it already has approval workflows. Generate drafts of descriptions or attribute values, then have a person review before publishing. Google's guidance on generative AI content asks for human fact-checking before publishing, and for Merchant Center it asks that AI-generated product titles and descriptions be labeled as such. Our guide to AI product descriptions covers prompts, review and quality checks.
Common PIM project mistakes
- Copying Magento's messy attribute sets into the PIM instead of redesigning them.
- Letting staff keep editing product content in the Magento Admin after go-live, so the next import overwrites their work.
- Full catalog imports on every change, which load indexers and flush caches.
- Treating the connector as finished at go-live. It needs testing on each Magento and PIM upgrade.
FAQ
Can Magento act as a PIM?
For small catalogs, yes. It has attributes, attribute sets, store views for translations and import tools. It lacks enrichment workflows, completeness tracking and multi-channel output.
Does product data flow back from Magento to the PIM?
Usually not. The PIM is the source and Magento receives. Data that originates in Magento, such as reviews or sales figures, normally goes to analytics, not the PIM.
PIM or ERP first?
Integrate the ERP first for orders, stock and prices, because those affect revenue directly. Add the PIM when content quality and speed become the bottleneck.
Next steps
Run the scorecard with your buying and ecommerce teams, then draft the attribute ownership table together. Mistri's Adobe Commerce development team builds PIM integrations and the catalog structure behind them, and our AI product content service helps produce and review enriched copy at scale.
