A Magento CRM integration syncs customers, orders, carts and consent between your store and Salesforce, HubSpot, Microsoft Dynamics 365 or another CRM, so sales, service and marketing teams see the same customer the store sees. Start with a data map that says which system owns each record and how fresh it must be. Then choose between a ready-made connector, which is faster but limited to what it already syncs, and a custom integration built on Adobe's APIs, events and App Builder, which fits your exact process but needs ongoing ownership.
What a CRM integration should do
Most projects aim for three outcomes:
- Sales and account managers see order history, open quotes and lifetime value in the CRM, especially for B2B accounts.
- Service teams see orders, shipments and returns when a customer calls, without logging in to the Magento Admin.
- Marketing can segment by purchase behavior and trigger campaigns such as abandoned-cart or win-back flows, using only contacts who have given the right consent.
Write down which of these you need first. A service-only integration is much smaller than a full two-way sync.
The data map
This is the core artifact of the project. Agree it with sales, service, marketing and finance before choosing tools. The table below is a starting template; adjust frequencies to your volume and the CRM's API limits.
| Data | Owner and direction | Freshness | Notes |
|---|---|---|---|
| Customer account (name, email, phone) | Magento owns registrations; Magento to CRM. Some fields may flow back | Near real time | Choose a matching key: email, or a stored CRM ID on the Magento customer. Decide how to merge duplicates |
| Addresses | Magento to CRM | Near real time | Default billing and shipping only, unless service needs all |
| B2B company and buyers | Often CRM owns the account; CRM to Magento for new companies | Minutes | With Adobe Commerce B2B, map companies to CRM accounts and buyers to contacts |
| Orders and order lines | Magento to CRM (read-only in CRM) | Near real time | Send totals, status, items, discounts; avoid card or payment details |
| Order status, shipments, returns | Magento (or ERP/OMS) to CRM | Minutes | If the ERP owns fulfillment, sync from there instead |
| Abandoned carts | Magento to CRM or marketing platform | Within an hour | Only for contacts with marketing consent; include cart link and items |
| Marketing consent | Two-way, with one source of truth | Near real time | Store what was consented to, when and where; unsubscribes must win everywhere |
| Guest orders | Magento to CRM | Near real time | Decide whether guests become CRM contacts; check your privacy notice |
| Quotes (B2B) | Depends: Adobe Commerce negotiable quotes or CRM quotes | Minutes | Pick one system for quoting to avoid two versions of the truth |
Consent deserves its own design review. Under GDPR and similar laws, marketing use of order data generally needs a lawful basis, and unsubscribes must be respected across systems. This is general information, not legal advice; check with your privacy counsel.
Connector or custom integration?
| Question | Points to a connector | Points to custom |
|---|---|---|
| Does a connector already sync every object on your data map? | Yes | No, key objects (B2B companies, quotes, consent) are missing |
| How standard are your processes? | Standard B2C | B2B accounts, custom approval or sales processes |
| Who owns the CRM data model? | Mostly default objects | Heavily customized objects and fields |
| Volume and timing | Moderate volume, minutes of delay is fine | High volume, strict latency, or bulk backfills |
| Hosting edition | Any | Adobe Commerce as a Cloud Service, where in-process modules are not allowed, favors App Builder |
| Long-term ownership | Vendor maintains the connector | You have a team or partner to maintain it |
Before buying a connector, check exactly which objects it syncs and in which direction. Some CRM-side apps sync contacts only, not orders or carts. Ask the vendor for its supported Magento and Adobe Commerce versions, how it handles two-factor authentication on Admin API access, and how it retries failures.
Platform notes: Salesforce, HubSpot and Dynamics 365
Salesforce
Salesforce connectors are available from third parties, several of them listed on the Adobe Commerce Marketplace; their scope (contacts, leads, orders, products) varies, so check each listing. For B2B, the main design question is whether Salesforce or Adobe Commerce owns the account and the quote. If you are also comparing commerce platforms, our Adobe Commerce vs Salesforce Commerce Cloud comparison covers when keeping commerce and CRM on separate vendors makes sense.
HubSpot
HubSpot's marketplace lists a Magento 2 data sync app built by HubSpot; as of November 2026 its listing shows customers synced to contacts, plus products. Several third-party Magento extensions sync customers, orders, products and abandoned carts to HubSpot. Compare their scope against your data map; marketing-led teams often need cart and order data, not just contacts.
Microsoft Dynamics 365
Dynamics 365 is often used for both CRM and ERP functions, so the integration may overlap with ERP work. Partner connectors exist, and custom integrations typically use Dataverse APIs on the Dynamics side. Plan this together with your Magento ERP integration so that orders, stock and customers are not synced twice by different routes.
How a custom integration is built today
Adobe's recommended pattern keeps integration code outside the core application, which makes upgrades easier:
- Events: Adobe Commerce emits events, such as customer saved or order placed, through Adobe I/O Events. Webhooks let you call external services synchronously when you need a response, for example to validate data.
- Processing: an App Builder application receives the event, maps fields and calls the CRM's API, with retries and logging. Adobe's integration starter kit gives you a starting structure for customers, orders, products, shipments and stock; Adobe notes it does not support code you modify.
- Reads and backfills: Magento's REST and GraphQL APIs, including bulk and asynchronous endpoints, handle initial loads and reconciliation.
- Combined views: if a headless storefront needs CRM data, such as account manager or loyalty tier, API Mesh can combine Commerce and CRM APIs behind one GraphQL endpoint.
On Magento Open Source, the same flow is usually built with a custom module that publishes changes to a message queue, plus a worker or middleware that talks to the CRM, since Adobe's installation guide states that Adobe I/O Events for Adobe Commerce requires Adobe Commerce 2.4.4 or higher and does not support Magento Open Source.
Testing and go-live checklist
- Backfill historic customers and orders in batches, then switch on live sync.
- Test duplicates: same email as guest and registered customer, changed emails, merged CRM contacts.
- Test failure paths: CRM API down, rate limits, invalid data. Nothing should block checkout.
- Reconcile counts daily for the first weeks (orders in Magento versus orders in CRM).
- Confirm unsubscribes made in either system reach the other.
FAQ
Should the CRM call Magento or the other way round?
Prefer event-driven pushes from the system that owns the data, with scheduled reconciliation. Polling large tables every few minutes is slow and fragile.
Can a CRM integration slow down checkout?
It should not. Send data asynchronously after the order is saved, never as a blocking call during checkout.
How long does a CRM integration take?
It depends on the number of objects, directions and the CRM's customization. A one-way customer and order sync is much smaller than a two-way B2B account and quote integration; a fixed estimate follows a data-mapping workshop.
Getting started
Build the data map first; the tool choice usually follows from it. Mistri's Magento extension development team builds custom integration modules and App Builder apps, and our headless Adobe Commerce work covers API Mesh and composable setups where CRM data appears in the storefront.
